Satchmo (“we”, “our”, “us”) respects your privacy. This Privacy Policy explains how we collect, use, disclose and protect your personal data when you visit our website, contact us, or submit an event enquiry. It is written to comply with the EU General Data Protection Regulation (GDPR) and the Dutch Implementation Act.

• We only collect the data we need to run our website, respond to messages, and (with your consent) measure and improve our marketing.

2) What data we collect and why

A) Website operation & security (strictly necessary)

  • Data: IP address, device/browser information, pages viewed, date/time, referrer, basic cookies, error logs.

  • Purpose: Delivering the website, ensuring availability, preventing abuse, troubleshooting.

  • Legal basis: Legitimate interests (Art. 6(1)(f) GDPR).

B) Contact form & event enquiry form

  • Data: Name, email, phone number, message content, event details (e.g., date, headcount, preferences), and any files you choose to upload.

  • Purpose: Responding to your message, planning your event, providing quotes, and follow‑up.

  • Legal basis: Pre‑contractual steps/Contract (Art. 6(1)(b)) and Legitimate interests (Art. 6(1)(f)). If we ask for optional marketing consent, the legal basis is Consent (Art. 6(1)(a)).

If your enquiry leads to a booking/purchase, we process additional data (e.g., billing details) to perform our contract and to meet legal obligations (see Retention below).

C) Analytics (Google Analytics via Google Tag Manager)

  • Data: Pseudonymous identifiers (e.g., _ga, _ga_*, _gid), device/browser data, pages/events, approximate location, referrers.

  • Purpose: Understanding how our website is used so we can improve it.

  • Legal basis: Consent (Art. 6(1)(a)). Loaded only after you opt in via our cookie banner.

  • Controls: You can withdraw consent any time via Cookie settings. Where enabled, we use Google Consent Mode to respect your choices.

D) Advertising & remarketing (Google Ads, Meta (Facebook) Pixel)

  • Data: Pseudonymous advertising identifiers (e.g., _fbp, _fbc), pages viewed, actions (e.g., form starts/submits), hashed email (only if explicitly configured), device/browser data.

  • Purpose: Measuring ad performance, building audiences, and showing relevant ads (remarketing).

  • Legal basis: Consent (Art. 6(1)(a)). Tags load only after consent via the cookie banner.

  • Profiling: These tools may build interest profiles to show relevant ads. You can withdraw consent at any time via Cookie settings and manage ad settings in your Google/Meta accounts.

4) Legal bases at a glance (Art. 6 GDPR)

  • Consent (a): Analytics, advertising/remarketing, and any optional marketing.

  • Contract / Pre‑contractual (b): Handling your contact/event enquiry, providing quotes, and performing bookings.

  • Legal obligation (c): Tax and accounting retention for invoicing.

  • Legitimate interests (f): Site security/diagnostics, preventing fraud/abuse, and essential business communications related to your enquiry.


5) Who we share data with (recipients)

We do not sell your personal data. We may share your data with:

  • Hosting and IT service providers that keep our website and email running (as processors).

  • Google (Analytics, Tag Manager, Ads) and Meta Platforms (Facebook Pixel) as analytics/advertising providers (independent controllers for their own purposes).

  • Professional advisors (e.g., accountants) and authorities where legally required.

When working with processors, we have data processing agreements in place as required by GDPR.


6) International transfers

Some providers (e.g., Google, Meta) may process data outside the EEA. Where this happens, we rely on an adequacy decision (if applicable) or appropriate safeguards such as the EU Standard Contractual Clauses (SCCs). We also assess transfer risks and, where necessary, implement additional measures.


7) How long we keep your data (retention)

  • Server logs / security logs: up to 90 days, unless needed longer for incident investigation.

  • Contact & event enquiries: normally 12 months after our last communication, unless your enquiry leads to a booking (see next item).

  • Bookings / invoicing data: kept for at least 7 years to comply with Dutch tax law.

  • Analytics & advertising identifiers: retained according to your consent and the providers’ settings (e.g., Google Analytics cookies up to 24 months, Meta _fbp/_fbc up to 3 months). You can withdraw consent at any time.


8) Your GDPR rights

You have the right to:

  • Access your personal data and obtain a copy.

  • Rectify inaccurate or incomplete data.

  • Erase your data (where applicable).

  • Restrict or object to processing (including objection to direct marketing/remarketing).

  • Data portability for data you provided to us.

  • Withdraw consent at any time (this does not affect past processing).

9) Children

Our website is not intended for children under 16. We do not knowingly collect data from children under 16 without verifiable parental consent.


10) Third‑party sites and services

Our website may contain links to third‑party websites (e.g., reservation platforms, social media). Their privacy policies apply to their services; we are not responsible for their practices.
